Legendary is currently in search of a seasoned C-Level Executive Assistant to support the CEO and manage his office. This person must be able to work flexible hours. The Executive Assistant will be responsible for high-level administrative support, including coordinating and scheduling competing commitments across all divisions of this global media company. The ideal candidate is extraordinarily detail-oriented, sharp, quick, able to juggle multiple tasks, has strong written and verbal communication skills, and is a dynamic team player. This role serves as the primary point of contact for all internal and external matters pertaining to the CEO. In addition, this role will be responsible for overseeing a second Executive Assistant.
 
Responsibilities

  • Manage CEO calendars, appointments, databases, expenses, and correspondences, etc.; in addition, support the coordination and execution of personal activities such as real estate, fundraisers, and community endeavors.
  • Represent the CEO in answering questions and meeting requests, exercising sound judgment in filtering and prioritizing access to the CEO.
  • Prioritize conflicting needs; handles matter expeditiously, proactively, discretely, and follow through on projects to successful completion, often with deadline pressures.
  • Coordinate heavy international and domestic travel needs including schedules, hotel accommodations, transportation arrangements, and meals and agendas in preparation for all meetings/events; often including being on-call outside standard office hours.
  • Provide high touch admin support and management of executive team meetings, including sending updates, preparation of team materials, booking locations, catering, arranging visitor passes, and other tasks as needed.
  • Manage highly sensitive information as it relates to the company and staff.
  • Partner with other departments in organization of company-wide events and initiatives.
  • Provide backup support to other key senior executives when necessary.
  • Provide additional support to CEO’s personal home office matters as needed.
  • Supervise the second Executive Assistant.
  • Researching and handling special projects.

Experience & Skills

  • At least 5 years of experience supporting a high-volume C-Suite level desk required, preference in entertainment, agency experience a plus
  • Demonstrated experience in successful planning, organization, and time management skills with an ability to effectively multi-task and be a self-starter
  • Exceptional oral and written communication, presentation, and interpersonal skills indicative of an ability to interface effectively with colleagues, management, and high-profile guests
  • Highly motivated, proactive with a desire to be successful. Anticipate potential issues before they arise. Identify ways to streamline tasks and consistently seek a better solution
  • Proven ability to retain the highest level of confidentiality and good judgement are of the upmost importance
  • Proactively anticipate business needs and changes without much guidance and be a self-starter/decision-maker
  • Must demonstrate a positive and personable attitude. Can easily handle stress and is unflappable with polished presentation skills. Respond to situations in a timely/polished manner
  • Advanced proficiency with Microsoft Office, especially Outlook
  • Bachelor’s Degree preferred
