Responsibilities
- Manager of Founder and Executive Producer’s daily calendar - Setting up and organize meetings, including invites, agendas, notes, and follow ups
- Prepare and distribute agendas for client meetings and executive / team visits
- Arrange and manage corporate travel and meetings, including developing agendas and itineraries; booking transportation; arranging lodging and other accommodations, and managing expense tracking
- Arrange various company events and outings, including; executive and team-based offsite meetings; “all-hands” meetings and annual company events
- Work to close any communication gaps between parties due to possible conflicts in schedules
- Completes projects and special assignments, including creation of regular corporate communications and preparing and editing articles, as needed
- Support Director of Operations in tracking company budgets and expenses
- Support in building proposals and aid in client presentations (including scheduling and meeting notes)
- Errands - including but not limited to shipping and receiving, purchasing and pick ups before shoots
- Manage company wide subscriptions
- Research and identify new talent for additional openings at Sound Off

Production
- Support with budgeting as necessary, keeping track of and filling in expense reports from Executive or purchasing expenses
- Book and manage travel for staff and clients directly and with travel agencies
- Manage and track vendors and agreements and work to review these with executive team members
- Support a great client experience on set! Make our creative teams and clients feel comfortable and appreciated.
- Prepare for visits - ensure all documentation is collected and organized and available for producers, disseminating important details to Sound Off members

Requirements
- Interest in film, impact, or advocacy work, preferred - you understand and believe in our ethos and driving principles!
- You believe in the transformative power of art as a catalyst for social change
- Proactive, organized, and energetic self-starter, able to deliver under pressure
- Strong writing skills for internal and external communications
- Ruthless at prioritization for executives and self
- Event planning experience, highly desired
- We are an all remote team so strong communication and follow-up skills are a must!
- Strong attention to detail and organizational skills
- Must be a team player with the ability to collaborate on projects as well as excel independently
- Knowledge of Dropbox and Google Drive is essential
- Proficiency with Keynote and Photoshop strongly preferred
- Experience in heavy calendar management while scheduling key meetings and events
- Ability and willingness to travel as needed
- Position is remote but must be able to support teams across different timezones
